Attendees: Behnam, Salam, Danny, Nancy, Remzi , Ruben, PJ and Bob Koch.

1. Meeting was called to Order by Ruben at 7:10PM

2. Past Minutes – Reading and approval of previous meeting Minutes- Behnam

Behnam indicated that those Minutes had been approved by the previous Board and already posted on the website.

3. Officers Reports – Financial Report – Ruben (Treasurer) presented December to 02/07/2023 Financials with Summary of Income and Expenses for the year. The report was shared with the Board.

4. Unfinished Business

    a. Sunday Tournament – Need to decide if we continue to support the Sunday Tournament and the prizes. Also voted on the Prizes and agreed to continue to offer Nittaku Balls as prizes for the winners (2 Balls for 1st Place and 1 ball for 2nd Place per category). The proposal was approved . The measure was approved Other tournament options will be discussed with the Board in the next meeting.

    b. Barriers – Need to assess quantity of damaged barriers to replace and decide on which Barrier Carts design to purchase. Unanimously agreed to purchase  Barriers and tall barriers. In addition agreed to purchase  new nets as we have had to replace damaged nets.

5. SDTTA OPEN – Initiate discussions regarding the OPEN – A Committee was selected to lead the effort to organize the Open composed by (Behnam, Danny, Salam and Remzi). They will update the Board in every Board meeting to ensure continuity of their efforts.

6. Member appreciation Tournament: March 2023. San Diego tournament May 2023,  Mexico- San Diego tournament is 09/2023 and 12/2023 is for Member appreciation tournament. We also voted for Lanyards for Board members.

7. The City sent the SDTTA Board correspondence for us to notify our membership of the following:

  • Food is not allowed in the gym, that includes food from the vending machines, fruit including bananas, snacks, etc. All food should be eaten in either the lobby or outside and food trash thrown outside. We have a big ant problem and do not want to increase the problem because of food.
  • Make sure do NOT drag the barriers across the floor. Also, barriers should have the rubber protective end caps on them or they should not be used.
  • No wet paper towels on the floor. They can set them on the concrete but not on the wooden gym floor.

4. Unfinished Business

    a. Sunday Tournament – Need to decide if we continue to support the Sunday Tournament and the prizes. We voted unanimously (6 Yes, 1absent) to continue the Sunday Tournaments. Also voted on the Prizes and agreed to continue to offer Nittaku Balls as prizes for the winners (2 Balls for 1st Place and 1 ball for 2nd Place per category). The prpoposal was approved but the vote was divided; 4 votes Yes, 1 voted No (Danny) and 1 absent (PJ). The measure was approved as 4 Yes, 1 No and 1 Absent. Other tournament options will be discussed with the Board in the next meeting.

    b. Barriers – Need to assess quantity of damaged barriers to replace and decide on which Barrier Carts design to purchase. Unanimously agreed to purchase 12 short Barriers and 12 tall barriers. In addition agreed to purchase 12 new nets as we have had to replace damaged nets. Ruben will contact Thu for the information of the supplier and Issue a Purchase Order. Regarding gthe Cart, Danny volunteeres to talk to Amir to confirm the bast path forward to acquire carts for barriers.

5. New Business;

Thu Tran resigned from her post due to personal work related reasons. We thank Thu for her contributions to the Association and to the Board. We will miss her, but we are counting on her support and an active SDTTA Member. In order to replace Thu, the Board unanimously agreed to consider Remzi Kaval as he was in the elections ballot and he meets all the requirements to be a Board member. Vote was 5 Yes and 1 absent, 1 resigned (Thu)

Later on Remzi joined us in the meeting and he agreed to participate in the Board.

8. Explain Membership collection process – We are currently accepting memberships although we do not have the 2023 stickers yet. However members can proceed to pay and we will provide them a receipt and we will hand them the sticker once they arriv e next week. We also have members paying through PayPal and they in turn have an electronic receipt and we will either give them cards or stickers once they arrive.

9. Member appreciation Tournament –  Details to be discussed at next meeting – Behnam

10. Monday Coaching – Mr. Javid will be out for a few weeks and Mr. Amir and Mr. Pisa will work together to support during those weeks. Also the Board approved for us to have another Official USATT Certified Coach in the Club. Mr.Pisa has volunteered to be certified as a Coach and the Association will help Pisa with the cost of Certification provided he conducts the Monday Coaching sessions with Javid for 1 year. Nancy will prepare an agreement to document the commitment between the SDTTA and Mr. Pisa

11. Collection of Membership Fees – Members identified the days of the week to support the member dues collections. The following are the days everyone volunteered:

Salam – Tuesday/Sunday

Nancy – Saturday

Remzi – Tuesday/ Thursday

Ruben – Monday/Tuesday

Behnam – Tuesday/Thursday/Sunday

Danny – Monday/Tuesday/Friday

PJ – To be determined

12. There was a proposal to recognize Jaxson for his continued contributions in leading the Thursday Round Robin Tournament and keeping track of Registration and Results. The decision by the Board was to either offer him a gift certificate or cover his membership dues for 2023. We are in the process of finalizing this as we speak with Jaxon.

ANNOUNCEMENT & REPORT

1-Financial Reports
Statement Financials Summary as of July 11,2022 for the San Diego Table Tennis Association completed and reported by Ruben.

2-Sunday Weekend RR from 11am until about 1pm.
You need to create an account at www.multiroundrobin.com (Click on login/register then under New User click Register, fill the form. For club, type the letters SAN and SDTTA will pop up. For USATT rating

3-Thursday tournament RR you must register before 6:30 same procedure as above. I don’t think you need to confirm with the organizer (Jaxon) if you have registered online.
Note the multiroundrobin.com account is NOT the same as your SDTTA.org account.

4-25 New Barriers and 15 New Scoreboards delivered and added to our inventory for upcoming tournaments and replacement with the old damaged one to keep our club professional look and beautiful for our visitors!
Special thanks to Thu, Amir and few of our members for spending lots of time and effort for putting new barriers together.
Javid could fixed all the old damaged Scoreboards as well except one which wasn’t fixable, Now we have 28 scoreboards in our inventory!

5-Thu sent Appreciation letter to Friendly Car Wash for continue supporting Sundays weekend RR.

6-Amir is going to be out of country from July 7th-September 10th.

7-Our members are able to see the results of Sundays and Thursdays Tournaments very soon.
The site should be linking to SDTTA’s part of https://multiroundrobin.com, since that’s where the results live.

Please let all my friends know at the Balboa Park club that I won 3 Gold medals and 2 Silver medals. I owe it to so many there at the club. Including Behnam practice was so valuable! I am pleased to represent San Diego at such a large tournament.

10-Mark to check with his contacts to initiate a draft proposal for a New or Revised SDTTA website including a cost estimate and timing for the Board to evaluate.

11-Javid Introduced Maurizio to Daryl so they can discuss options or ways to make improvements to the website as it relates to Round Robin and Teams Rankins.

Yearly Financial Audit completed and discussed. No outstanding items or deviations identified by the Auditor(Salaam). Explained by Ruben.
Also related to this, the City SUP was revised and approved by the city. Ruben issued a $404.00 check to the City to pay for the Special Use Permit of the facility for 3 years. June Lim, Ruben Guilloty and Victor Johnson II attended the meeting.

4- Online Pre-Entry’s Registration instead of registering on the same day of tournaments proposed by Javid originally,

Doing it in the same day of tournaments is not a good idea. They need email or contact only the tournaments Directors, not everyone on the SDTTA Board.

    Non-weekend RR players complained because there were not open tables due to the event. The board members suggested rescheduling from Saturdays to Sundays.

    The board approved to pay rent fee ($6/month) to reserve the monthly board meeting room and Facility Use Application 2017 was filed to BPAC on 8 MAR and pending for approval.
  8. Team league status hearing by Jeff Ruiz at 7:00 p.m.
    Was requested and scheduled in person. However, he emailed current summary and financial transactions which are subject to verification/validation.

    Is postponed due to Ruben’s absence

  12. Scholarship FY22
    June intends and outlines the concept and overall procedures to award purposely local students after the board selection up to 6 students in maximum of $1,500 or $250/student for this year and. However, some board members had difficulty to comprehend the postulation of scholarship or do not foresee the long-term benefits to SDTTA. June decided to scrap this proposal.
  13. Overhead LED lighting retro-installation (5 Yes-1 No)
    Associated expenses including parts and installation to be shared with badminton and pickle ball and estimated $2,800 total project /3=$940 to SDTTA as estimated.
  14. Two summits competitions on 9 APRIL and 14 MAY
    It consists of 2 players/team, $20 entry fee/team X 20 teams sums up to $400 per event day not including sponsorships out of total $600 prize. Even though the board approved (5 Yes-1 No), however, Ruben stated that he will refuse if any event causes the SDTTA to pay expenses. Thus, June decided not to proceed.
  15. New membership cards (6 Yes-0 No).
    Replacing old cards by a new magnetic badge cards was proposed by June. Each encoded new card will contain name, membership status and rating; activation date by October will begin issuing on January, FY23.
